A focused inbox view is a list of available tasks that contain documents that share a specific criterion, such as specific vendor invoices, transcripts, or statements. Users can open the view to see the tasks that are available to be worked and complete them, all from the Focused Inbox view. This article walks through how to use a Focused Inbox view.
Considerations
- At least one task view must be created by a KL administrator.
- The user must have view/participate permissions granted on the workflow that the task is associated with.
- The user must have permission granted to the content type(s) being used.
- The user must have these Task app permission settings granted in the Configuration app:
- Index Panel Gizmo
- Use this app
- Access Focused Inbox
- Question and Answer Gizmo
Using a Focused Inbox View
- Navigate to the Tasks app and click Focused Inbox.
- Click the view (if there are multiple) to show the list of tasks available in that view.
- To ensure you are opening the correct task, click the task in the list to highlight it blue.
- Then, click View Inputs. This will list all available metadata for that/those document(s).
- If the task is the correct one, click Open
- When prompted to assign the task to yourself, click Yes. PLEASE NOTE that once a task has been assigned to you, no other user can access that task until you unassign it from your account.
- You can also click No (View Task) to open the task in read-only mode. This will not assign the task to you.
- Once the task has been opened, complete the task as specified by your KL administrator. Or, click Unassign from Me if you cannot complete the task.
Your manager or KL administrator may have different guidelines for completing tasks. However, this is the basic method. Use this as a guide, but follow the parameters set by your leader when completing a task.
